Office Hours

We're here to answer questions, schedule appointments, and serve you throughout our office hours. Feel free to contact us anytime during the following hours:

  • Monday through Friday: 7:30 am – 4:00 pm

To ensure prompt attention for every patient, we reserve your appointment specifically for you. Because of this, we ask that you warn us in advance if you need to cancel an appointment. If you are unable to notify us by 4pm of the preceding business day, we'll have to charge a no show fee of $40 per occurrence.

We believe that finances should never stand between you and good eyesight, and we're dedicated to helping our patients get the maximum coverage possible from their insurance. We accept most major insurance policies, and we'll work with you to help you get the most from your plan. That said, it's important that you understand your own specific insurance policy and follow any requirements needed for coverage.

Insurance policies can be staggeringly complex and vary greatly, and because of this, we can't always accurately predict the exact level of coverage you'll receive. While we strive to estimate your costs in good faith, any estimate we provide is just that – an estimate. Your estimated patient portion is due at the time of service, but we'll handle billing your insurance company for any services. As always, we're here to answer any questions you have about insurance or the cost of care.

No Show Policy & Fees

We strive to provide the best experience for every patient, and to help facilitate that, we've implemented a number of policies for no show appointments, failure to pay, bounced checks, and accounts in collections. Please find a summary of these policies below:

  • NO SHOW POLICY: Each time a patient does not show up for an appointment, without providing us with proper notification, another patient is prevented from receiving care. Brass Eye Center tries to prevent no shows by confirming appointments via telephone 2 days prior to the scheduled appointment. These no shows negatively impact our ability to provide efficient patient care. Therefore, a $40.00 no show fee will be charged directly to the patient for each no show visit. To avoid the fee, we require that you advise us by 4pm on the business day preceding your appointment if you have to cancel. If you have 3 no show appointments you will be discharged from the practice. If you are a new patient and do not show up for your first appointment, you will be charged a no show fee. After the initial no show, we will be able to reschedule your first visit only once.
  • NON PAYMENT OF COPAYS AT THE TIME OF VISIT: To adhere to requirements of insurance carriers, we have to collect co-pays and any non-covered service fees at the time of service. If you are unable to pay at the time of service, we have to pay our billing company to bill you. Because of this, we charge a $15 service fee any time someone is unable to pay at the time of service. That said, if we're unsure what the cost of your co-pay will be and need to delay payment for that reason, we won't charge this service fee.
  • BOUNCED CHECK: Receiving a check that bounces causes expenses for our office, and due to these expenses, we charge a $35 fee for any check that bounces. We also cannot make further appointments until we receive the money owed from the check.
  • ACCOUNTS IN COLLECTIONS: At times, we must place accounts in collections due to non-payments. We strive to avoid this and make many attempts to collect payment before sending an account to collections. Due to the expenses associated with this, we charge a $50 additional fee for any account that goes to collections. We also must discharge any patients whose accounts go to collections.

To summarize, here's a short outline of our assorted payment policies:

  • No Show Fee - $40.00 per occurrence for established patients and new patients will not be rescheduled.
  • Non-payment of copay at time of service - $15.00 fee
    • Medicare and other insurances that do not have a set copay will not be affected by this service fee. When it is not clear whether a patient will have a co-pay for tests, they will not be charged the service fee.
  • Collections fee - $50.00, discharged from practice.
  • Bounced checks – The patient is responsible for an additional $35.00.
